Position Summary

This full-time, non-exempt, position performs routine clerical, data processing, and administrative work related to the overall functions of the Town of St. John Clerk-Treasurer’s Office and other public services.  Attention to detail, work initiative and excellent communication skills are critical to the effectiveness in this position.     

Duties and Responsibilities

  • Processes payments to customer utility accounts, various Town permits, fines & fees on a daily basis
  • Performs daily remote deposits for all revenues received
  • Receives and directs incoming calls
  • Performs scheduled clerical data processing on a daily basis
  • Checks that all claims have attachments in the software system and maintains apv files monthly
  • Maintains the Clerk-Treasurer’s social media account
  • Sorting and delivering incoming mail and sending outgoing mail
  • Handles the FOIA requests and delivery of the item(s) requested
  • Uploads Town meeting minutes in Gateway
  • Maintaining & filing of various office records
  • Creates Purchase Orders
  • Creates Canva and Constant Contact communications
  • Reviews invoices for accuracy prior to Accounts Payable
  • Performs any and all related functions as assigned by the Clerk-Treasurer or prescribed by statue

Qualifications

Knowledge

  • Prior experience in a clerical position or similar experiences
  • Great customer service & communication skills
  • Ability to perform mathematical computations accurately and quickly
  • Basic reading comprehension
  • Good time management and organizational skills with attention to detail
  • Effective oral and written communication skills
  • Work under pressure even with frequent interruptions

Experience

  • Graduation from high school and meaningful training or working experience required
  • At least three months in a comparable position

Machines, Tools, Equipment, Software

  • Telephone and voicemail system, copier, 10-key calculator, cash register, keyboarding skills, personal desktop computer applications such as: Microsoft Word, Microsoft Excel, Google Docs, Google Forms, Google Sheets, Canva, Constant Contact, email, fax machine, scanner, and special payroll and fund accounting applications licensed to the Town from a proprietary vendor 

Bonding

  • Must be bondable

Working conditions

The work environment is moderately quiet and indoors.  While performing the duties of this job, the employee is frequently required to: read, sit, stand, carry, reach, key, talk, and hear.  Specific vision abilities are required by this job and include close vision and the ability to adjust focus.  Reasonable accommodations can be made for persons with disabilities.   Hours may be adjusted to work evenings, weekends or remotely.  

Physical requirements

This job may occasionally require the employee to lift or move up to twenty-five (25) pounds. Reasonable accommodations can be made for persons with disabilities.
