GENERAL PURPOSE
Performs a variety of routine clerical, secretarial and general office aspects of the Public Works Department.
SUPERVISION RECEIVED
Works under the general supervision of the Public Works Director and Administrative Assistant.
SUPERVISION EXERCISED
None.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Performs routine clerical work as in answering telephones, receiving the public, providing customer assistance, filing, scanning and data processing.
- Answers in-coming calls and routes callers or provides information as required.
- Receives the public and answers questions; responds to inquiries from citizens and others and refers, when necessary, to appropriate persons.
- Assists in the procurement of department materials and supplies.
- Must be computer knowledgeable and able to operate general office equipment.
- Receives and distributes incoming mail and emails.
- Inputs data to office and department forms; compiles data for various reports when needed.
- Assists with other duties such as electronics recycling, compiling data for trash/recycle bin deliveries, scheduling and confirming appointments, updating and scanning various records and documents.
- Creates case sheets as needed and follows-up with the completion of the written task.
- Responsible for keeping legal minutes of the Board of Waterworks and Sanitary District.
- Attends Board of Waterworks and Sanitary District meetings, as requested.
- May need to operate a Town vehicle, when necessary, to travel for Town business matters.
- Assists with other tasks as needed.
DESIRED MINIMUM QUALIFICATIONS
Education and Experience:
- Graduation from high school or GED equivalent and
- Minimum (2) two years experience in general office practices.
NECESSARY KNOWLEDGE, SKILLS, & ABILITIES
- Skill in the operation of the listed equipment.
- Proficient knowledge in English grammar, punctuation, and spelling.
- Ability to effectively meet and deal with the public;
- Skill to communicate effectively, orally with excellent writing skills,
- Ability to work in a team and independently, well organized, critical thinker, and detailed oriented.
- Ability to multi-task and work under stressful conditions, tight deadlines, with frequent interruptions.
SPECIAL REQUIREMENTS
Valid State Driver’s License or ability to obtain one.
TOOLS & EQUIPMENT USED
Phone, personal computer, including word processing and licensing software; calculator, pencil, ruler, phone, copy and fax machine. Miscellaneous hand tools for the preparation of recreation programs and special events.
